Cognixis LLC, operating as Cognixis and Cognixis AI ("Cognixis," "we," "us"), operates this company website and develops AI-assisted products and services. This notice covers information we handle through cognixisai.com, company inquiries, update subscriptions, and recruitment for our own team.
Products and services with accounts, AI features, billing, extensions, or other distinct functionality may have a product-specific privacy notice or written agreement. Those disclosures explain the additional activities that apply. Linking to a product does not by itself send the content of your company-site inquiries to that product.
This policy is a notice about data handling, not a request for blanket consent. Visiting the site or accepting terms does not authorize unrelated marketing, model training, or any processing that requires a separate choice.
2. Information collected and why
- Inquiries: When you email or contact us, we receive your contact details, message, attachments, and correspondence. We use these to respond, evaluate a proposed project, and maintain relevant business records.
- Updates: If you use an available subscription form, we receive your email address to send the company, product, and career updates you request. Subscription is optional and separate from applying for a job or requesting support.
- Recruitment: When applications are open, our form requests your name, email address, resume text, and position, with optional phone number and cover letter. We use this information to evaluate and communicate about that application. Required fields are marked; without them we cannot process the form. The careers page identifies whether applications are currently accepted.
- Website operation: Requests to our hosting and API infrastructure can include an IP address, browser information, requested URL, timestamp, referral information, and technical or security logs. These support delivery, troubleshooting, and protection against abuse.
- Preferences: We store a motion preference in your browser when you use the motion control, as explained in the Cookie Policy.
Information comes from you, your browser, and the providers supporting those interactions. Please omit government identification numbers, payment-card details, health information, passwords, and other unnecessary sensitive information. Contact support separately if you need an accessible application process; do not include medical details in a resume.
3. AI, product demonstrations, and recruitment
The interactive product workflows on this website are illustrations using example content. They do not process your personal information, submit a live prompt to an AI provider, or make a decision about you. The company website does not provide an interface for submitting prompts to an AI model.
Some Cognixis products use third-party AI services to process content when their AI features are used. Review the applicable product's AI processing and provider disclosures before uploading content. Provider retention and model training are different matters: a provider may retain data to deliver a feature or prevent abuse even when it does not train on that data.
This notice does not grant permission to train a general-purpose model on company inquiries, subscriber emails, or recruitment submissions. Any proposed new use must be assessed for a lawful basis, appropriate notice, and any required consent before it begins. Removing a name or aggregating records does not necessarily make data anonymous.
Submitting a company job application is not permission for undisclosed automated hiring decisions. If a recruitment process uses a tool subject to automated-decision notice or other requirements, the applicable information and rights must be provided for that process. You can contact us about recruitment data, accessibility, or a decision affecting you.
4. Legal grounds where applicable
Where EU or UK data-protection law applies, the grounds depend on the purpose:
- Requested services and pre-contract steps: handling a request for a project or considering an application where necessary to take steps you request before a contract.
- Legitimate interests: answering general business correspondence, managing relationships and recruitment administration, and keeping the website reliable and secure, subject to your rights and a balancing of interests.
- Consent: optional marketing subscriptions and other activities for which consent is required. You may withdraw it without affecting earlier lawful processing.
- Legal obligations: records or disclosures required by applicable employment, tax, regulatory, or other law.
We do not treat every purpose as necessary for a contract or rely on consent merely because you visited a page.
5. Recipients and disclosures
Our website and form infrastructure use Amazon Web Services (AWS). Form submissions are sent to an AWS API endpoint in the United States. Personnel and providers supporting hosting, communications, and administration may process information for the purposes described above. See the AWS privacy notice.
We may also disclose relevant information to professional advisers, to comply with a legal obligation or valid legal request, to protect people and address fraud or security incidents, or in a business transfer subject to applicable safeguards. Additional disclosures may occur at your direction.
Using a provider does not remove our own responsibilities under applicable law. A provider acting on our behalf must be subject to the contractual and other protections the law requires; a provider may also have independent legal duties for its own processing.
This company website does not include advertising pixels or cross-site advertising integrations. We do not offer website submissions for sale or for cross-context behavioral advertising. Separate product processing is described in the applicable product notice.
6. Retention and deletion
Retention depends on the category and purpose, rather than a single period for every record:
- Inquiries: for the active correspondence or business relationship and any period needed to document it, resolve a dispute, or meet a legal obligation.
- Subscriptions: while you remain subscribed, with limited suppression records afterwards to respect an opt-out and records needed to demonstrate the subscription choice.
- Applications: for the relevant recruitment process and any applicable employment recordkeeping or legal-claims period. Keeping a resume for unrelated future opportunities requires an appropriate basis and notice.
- Operational logs: for troubleshooting, security investigations, and applicable recordkeeping needs.
- Browser preferences: as described in the Cookie Policy.
Deletion can be subject to legal holds, required records, and backup rotation. Retained information remains subject to applicable protections; a deletion request does not require us to destroy records the law requires us to keep. Contact us for information about retention applicable to your records or to request deletion.
7. Your privacy rights and requests
Depending on your location, the law's applicability, and exceptions, you may have rights to know or access personal information, obtain a portable copy, correct or delete it, restrict or object to processing, withdraw consent, and opt out of sale, targeted advertising, or certain profiling and automated decisions. California residents may also have rights to information about categories, sources, purposes and recipients, and to limit certain uses of sensitive personal information. These rights are not conditioned on purchasing a service.

We may request information reasonably necessary to verify your identity or an authorized agent's authority; please do not send an identification document unless specifically requested through an appropriate channel.
We respond within the applicable legal deadline. Where GDPR applies, this is normally one month; many US state laws generally allow 45 days. Any permitted extension or refusal will be explained as required. Where available, you may appeal a refusal using the same contacts with "Privacy appeal" in the subject. You may complain to your state attorney general, applicable privacy regulator, or, in the EEA/UK, your supervisory authority. We will not unlawfully discriminate or retaliate for exercising privacy rights.
Where an applicable law requires recognition of an opt-out preference signal such as Global Privacy Control, that signal must be respected for covered processing. A signal is not required to browse this company website without advertising trackers.
8. Marketing and browser choices
To stop company marketing emails, use the unsubscribe method provided in the message or email support@cognixisai.com with "Unsubscribe." We honor applicable opt-out deadlines, including the US requirement to process commercial-email opt-outs within 10 business days. Necessary replies and transactional messages may continue.
Our Cookie Policy explains local storage and browser controls. Clicking a link to a product or another website opens a separate service with its own storage and notices.
9. Security and international processing
Our published website and form API use HTTPS for data in transit. No website, email system, storage system, or AI provider can guarantee absolute security. Please avoid sending unnecessary confidential or sensitive material by ordinary email. We will provide legally required breach notifications based on the circumstances and applicable law.
We operate using US infrastructure, and providers may process information in other countries with different privacy protections. Where a restricted international transfer is subject to EU or UK law, an applicable transfer mechanism and any required additional safeguards are necessary, such as an adequacy decision or approved contractual clauses. Contact us for information about the mechanism and safeguards applicable to your information. Visiting this website is not consent to waive transfer protections.
10. Age, changes, and contact
Our business services and submission features are intended for adults aged 18 or older. They are not directed to children under 18. If you believe a child has submitted personal information, contact us so we can address it, including deletion where appropriate.
We update this notice when practices change and identify the revision date above. Material changes will receive additional notice when required. We will obtain consent for new processing where required; continued browsing alone does not supply it.
